Every feature, explained.

NoteSono is built specifically for UK private practice. Here is what it does and how it works.

    Not just notes

The whole practice, not just the notes

Clients book themselves into the hours you set. Sessions land in your calendar. Notes attach to the client record. Invoices build from the sessions you have actually delivered, and clients pay by card. Outcome measures come back before you sit down with someone. Your CPD counts itself against what your professional body expects.

    Clinical notes

AI-generated clinical notes in your format

After a session ends, speak a brief summary of what happened. NoteSono transcribes it and formats it into a structured clinical note — SOAP, DAP, BIRP, EMDR, CBT, Schema or any of 20 formats. Voice, typed summary, or photographed handwritten notes. The AI never touches the session itself — only your post-session dictation.

20 formats · Voice, type or scan · Review before saving

    Session scheduling

    Calendar with automated client reminders

Book sessions directly in NoteSono. Clients receive automated 24-hour email reminders — reducing no-shows without any manual effort. Recurring sessions, cancellations and DNA are all tracked. After a session block passes, a prompt appears to write the note immediately while it is fresh.

Recurring sessions · Automated reminders · Linked to client records

    Invoicing

Invoices created from session notes in one click

When you mark a session note complete, create the invoice from it immediately — session date, duration and fee are pre-filled. Send by email directly from NoteSono. Track which invoices are outstanding, paid, or overdue, with overdue invoices flagged so you know who to follow up.

Invoice from note · Email delivery · Overdue flags · Payment tracking

    Client management

Full client profiles with clinical history

Every client has a profile tracking their session history, treatment plan goals, outcome measure scores (PHQ-9, GAD-7, CORE-10), safeguarding entries, and background notes. A session prep view pulls all of this together before each appointment — last session note, active plan goals, current outcome scores — so you arrive prepared.

Treatment plans · Outcome tracking · Safeguarding log · Session prep

    Waiting list

Manage enquiries from first contact to first session

Log enquiries with contact details, presenting issue and priority level. When a slot opens, email the client directly from NoteSono and convert them to a full client profile with one tap. Low, medium and urgent priority groupings keep your waiting list organised without a separate spreadsheet.

Priority levels · Direct email · One-tap conversion to client

    Practice overview

Dashboard showing what needs attention today

The home screen shows today's sessions from your calendar, any draft notes that need completing, and outstanding invoices awaiting payment. Revenue this month, active clients, and notes written this week are visible at a glance on desktop. Everything is live — no manual refresh required.

    Note creation

Three ways to create a note

After your session ends, choose how you want to provide your clinical summary. NoteSono formats it the same way regardless.

    1

    Voice recording

Tap record and speak for 1-2 minutes. NoteSono transcribes your summary and formats it into your chosen note structure. We discard your audio once it is transcribed; our transcription provider may hold it for up to 30 days for abuse monitoring, then deletes it.

    2

    Type a summary

Prefer to type? Write a brief paragraph about the session and NoteSono formats it. Useful when you're in a quiet environment or when you want to think before you speak.

    3

    Scan handwritten notes

If you write session notes by hand, photograph them. NoteSono reads your handwriting, extracts the clinical content, and formats it into a structured note.

    Voice recording

1-2 minutes · we discard the audio once transcribed

    Type a summary

    Write a brief paragraph

    Scan notes

    Photograph handwritten notes

    Note formats

20 formats — from progress notes to formulations

    Privacy & GDPR

Built around UK GDPR from the start

NoteSono was designed so that your clients' identifying information never enters the AI. This is not a setting — it is fundamental to how the product works.

    No session recording

You record only your post-session summary. The session itself is never captured.

We do not keep your audio

We discard voice files once transcribed. Our transcription provider may hold them for up to 30 days for abuse monitoring, then deletes them.

    No client names in AI

Clients are referenced by code. Names are replaced with "the client" automatically.
